Who We Are | Executive Board | Committees & Representatives | DocumentsCommittees & RepresentativesConsider volunteering to serve on or chair a committee or to serve as a representative to MLA or external organizations. There are many ways you can contribute your profession, and becoming active in NCNMLG is one of them. ArchivistThe NCNMLG Archivist sends out annual reminders to officers and committee chairs to fill out a transfer form and send non-current, original records of their activities. Confers with the Head of UCSF Special Collections (where NCNMLG Archives are permanently deposited) on necessary changes or additions to records disposition schedule lacunae in records series. Prepares annual report of use of archival materials and items added to the collection. Awards and HonorsThe Awards and Honors Committee shall review the nominations of individuals for the NCNMLG Award for Excellence and submit the names of eligible candidates to the Executive Board annually. The committee shall also serve as a clearinghouse for information and forms for the MLA Awards and Honors Programs. It may also facilitate a nomination for an MLA award or honor on behalf of the group, if appropriate. BylawsThe Bylaws Committee prepares Bylaws and/or Constitution changes as recommended by the Executive Board or members. In addition, the Bylaws are continually reviewed for appropriate changes that can be recommended to the Executive Board and members. Continuing EducationThe Continuing Education Committee coordinates continuing education offerings outside of the Joint Meeting. The committee's additional responsibility is to form a task force which will develop guidelines for Chapter members wishing to create continuing education courses. Credentialing Liaison (AHIP)The NCNMLG Credentialing Liaison provides consultation to NCNMLG members interested in obtaining the Academy of Health Information Professionals (AHIP) certification. In addition, the liaison recruits other AHIP members to serve as mentors for provisional members in the region. The NCNMLG Credentialing Liaison serves as a link between NCNMLG and MLA's Credentialing Committee. DocumentationThe Documentation Committee annually reviews all NCNMLG documents (both printed and electronic) for consistency and accuracy. NCNMLG documents include the Constitution, Bylaws, Membership Directory, brochures, NCNMLG Policy and Procedure Manual, Chapter History and NCNWeb. Those in charge of each of these documents are members of the committee. Electronic ResourcesThe Electronic Resources Committee is responsible for maintaining and updating NCNMLG's Website, "NCNWeb." ExchangeThe Exchange Committee facilitates the exchange of materials among subscribing libraries at the regional level. The program is a self-supporting activity, maintained through the annual participation fees charged. An exchange list is assembled once each quarter and copies are distributed to each participating member. Governmental RelationsThe Governmental Relations Committee monitors legislative issues. The committee informs NCNMLG members of local, state, and federal legislation important to health science librarians, and educates members on ways to obtain further information. The committee works cooperatively with the MLA Governmental Relations Committee and other groups such as MLGSCA and SLA whenever needed. The Legislative Sourcebook is distributed to all new members, and the committee updates it as needed. ILL CouponsThe ILL Coupons Committee facilitates the NCNMLG interlibrary loan coupon system, which allows members to receive and pay for interlibrary loans with coupons purchased from the organization. Joint MeetingThe annual Joint Meeting of NCNMLG and MLGSCA is normally held in February. The Joint Meeting Committee plans, organizes, and implements the Joint Meeting on alternate years when it is hosted by NCNMLG. The committee chooses the location and theme for the conference and coordinates and organizes all activities involved with hosting the conference. Long Range PlanningThe Long Range Planning Committee appraises NCNMLG's situation now and in the future, drafts goals and objectives, disseminates planning information to members for discussion and recommendation, formulates strategies to best meet needs of members, plans best uses of organizational resources, implements strategies to make the organization effective, and evaluates the implemented plan. The group includes the President, Vice-President, and Past President. MembershipThe Membership Committee maintains the membership database, receives and reports membership applications, sends out renewal notices, publishes and distributes the annual directory, and produces mailing labels and name tags. MLA Benchmarking LiaisonThe MLA Benchmarking Liaison serves as the Benchmark Chapter Educator (BCE) and authority in the Chapter on the MLA Benchmarking Network. Duties include attending training sessions at annual meetings and arranging informational sessions at Chapter meetings to discuss the Benchmarking Network and encourage participation. The liaison also writes regular benchmarking updates for Chapter Newsletters and communicates via Chapter discussion lists. She/he receives regular updates from the Benchmarking Training Team concerning progress on the Network, as well as from MLA Headquarters on participation levels in beta and live Benchmarking Network. The liaison actively communicates with other BCEs through the BCE discussion list (e.g., report results from Chapter sessions). MLA Membership Committee RepresentativeThe past NCNMLG membership chair is asked to serve as NCNMLG's MLA Membership Committee Representative. This is a three-year commitment. The MLA Membership Committee Representative assists in the development, implementation, and evaluation of policies and strategies to promote membership in the association. Other activities include prospective member list development, telephone follow-up, staffing the MLA booth during the joint chapter and annual MLA meetings, and participating in the committee meetings, the new member welcome and reception during the MLA annual meeting. NewsletterThe Newsletter Committee prepares and publishes the newsletter for the membership six times a year. Nominating/ElectionThe Nominating/Election Committee is responsible, in consultation with the current officers, for selecting candidates for Vice-President/President-Elect, Secretary, Treasurer, two members of the Nominating Committee, and the Representative and Alternate Representative to the MLA Chapter Council. The committee is also responsible for distribution and tabulation of the election ballots. The Nominating/Election Committee consists of three members; two are elected and one is the immediate Past-President. The member elected with the larger number of votes becomes the Chairman. Paraprofessional/ProfessionalThe charge of the Paraprofessional/Professional Committee is to promote understanding between health sciences paraprofessionals and professional librarians engaged in providing information services to health care providers. It encourages health sciences library paraprofessionals to become active NCNMLG members by assisting in publicizing membership advantages and by designing programs of value to them at local and regional meetings. The committee acts as a clearinghouse for information about current activities and training programs for paraprofessionals, and monitors standards of practice, educational requirements, and employment guidelines for health sciences library paraprofessionals. ParliamentarianThe parliamentarian is expected to understand the NCNMLG Bylaws and Roberts Rules of Order. When called on by the President, officers, committee chairpersons or members, the parliamentarian offers advice on procedural matters. The parliamentarian notifies the President whenever there seems to be a conflict between actions taken by the organization and the bylaws. ProgramThe Vice-President/President-Elect chairs the Program Committee. This committee plans the content and arranges the locations and speakers for programs held at regular NCNMLG meetings. The committee works with the Executive Board to plan outreach or other programs as needed. The Vice-President/ President-Elect may chair the committee, or may delegate that responsibility to another NCNMLG member. The number of members is flexible; members are appointed by the committee chair. PSRML RepresentativeThe primary role of the PSRML Representative is to keep NCNMLG members informed on the Pacific Southwest Regional Medical Library's (PSRML) activities, and to serve as a voice for NCNMLG in advisory group discussions and decision-making. The representative is also expected to provide sound input to PSRML advisory committee discussions based on judgment, experience and broad knowledge of problems faced by health related libraries in Northern California and Nevada. Public RelationsThe Public Relations Committee is charged with publicizing NCNMLG and its activities, both internally and externally, and increasing the visibility of health sciences librarians. The committee is responsible for establishing liaisons with groups with similar interests, such as health sciences libraries, nursing education groups, SLA, and other MLA groups. In addition, the committee strives to establish liaisons between urban and rural institutions, and promote new memberships with NCNMLG. Mentoring Task ForceThe Mentoring Task Force identifies ways that NCNMLG members could support new members in health information careers. This includes special outreach programs to our two local library schools. Regional Analysis of Resources Task ForceThis task force explores resource sharing. ResearchMany library organizations are beginning to support professional research. The Research Task Force explores a research agenda for NCNMLG, including possible opportunities for collaboration on research projects by members. |
